Restaurant accounting software vs an accounting firm

Two questions, two purchases

Every restaurant finance setup answers two questions.

  1. Who keeps the ledger? This is the system where the general ledger lives: QuickBooks Online, Restaurant365, or a platform a firm built for itself.
  2. Who does the work? Someone has to code invoices, reconcile the bank and the POS, book payroll and tips, count inventory, and sign off on the month. That is your own team, an outside firm, or a mix of the two.

Software answers the first question. A firm answers the second. Many groups buy both and do not notice they made two decisions.

What software does and does not do

ProductWhat it holdsPublished priceCloses the books
QuickBooks OnlineGeneral ledgerIntuit publishes plan prices by planNo
Restaurant365Restaurant general ledger plus inventory and schedulingNot published on its pricing pageNo
MarginEdgeInvoices, food cost, sync to QuickBooks, Xero, or Sage350 USD per location per monthNo
xtraCHEFInvoices and food cost inside Toast179 or 279 USD per location per month (checked 2026-11-01)No
CraftableInventory, purchasing, recipes, invoice captureNot publishedNo

The pattern is the same in every row. The software makes the work faster, but someone still closes the month in it. The software roundup compares these on the same fields.

What a firm does

A firm takes over the recurring work: daily or weekly sales reconciliation, payables, bank and card reconciliations, the month-end close, and the reports. Some firms add payroll, tax, forecasting, or inventory work. Each firm states its scope differently, so read the scope line by line. The services roundup lists five firms on the same fields.

Firms differ most on the ledger they work in:

  • Inside software you license. Harmony Group says it pairs MarginEdge with QuickBooks Online. The Fork CPAs lists QuickBooks Online or Restaurant365. Paperchase is a Restaurant365 partner. FORCS says it works inside Restaurant365 and QuickBooks Online. You keep the ledger if you change firms.
  • On a platform the firm runs. Kit by KitchenSync sells its team and its own platform together. You buy one thing, and you depend on that firm’s system.

When you need which

  • You have a controller or a strong in-house accountant. Buy software. Your team closes the month in it.
  • You have no one who closes the month. Buy a firm. Ask which ledger it works in before you pick software, because the firm may choose for you.
  • You have several locations and want weekly numbers. You need both the ledger and the people. Compare total cost: software licenses plus the firm fee, against a firm that includes the platform.

How to compare total cost

Add every line you will pay each month:

  1. Ledger license (QuickBooks Online plan, or a Restaurant365 quote).
  2. Invoice and inventory tool, per location (for example, MarginEdge at 350 USD).
  3. Firm fee, per month or per location.
  4. Payroll provider, if the firm does not run payroll.
  5. Your own staff hours that stay in house.

Then compare against a firm whose price includes the platform. Kit by KitchenSync publishes 1,500 USD per location per month for Essentials, which it says includes payroll, HR, and banking.

Questions to ask before you sign

See questions to ask a restaurant accounting firm: who keeps the ledger, how often the books close, what the owner sees each week, and what you get back if you leave.

FAQ

Does restaurant accounting software close the books?

No. QuickBooks Online, Restaurant365, MarginEdge, xtraCHEF, and Craftable hold or feed the ledger. A person on your team or at a firm still reconciles and closes the month.

Is a restaurant accounting firm cheaper than hiring?

It depends on your volume. Published firm prices start at 950 USD a month at The Fork CPAs for a single restaurant and at 1,500 USD per location per month at Kit by KitchenSync. Compare that with the loaded cost of the hours you would hire.

Can a firm use the software I already have?

Many can. FORCS, The Fork CPAs, Harmony Group, and Paperchase all say they work in QuickBooks Online or Restaurant365. Ask before you sign.

What happens to my books if I change firms?

If the ledger is in software you license, the books stay with you. If the firm runs its own platform, ask in writing what export you get and in what format.
